There are many times that you’ll have meetings with the same agendas – from internal staff meetings to meetings within the sales process. In Productivity Fox, you can create meeting templates to use for new meetings and within Process Builder to automate meeting creation.
Today, we’ll take a quick look at how to create meeting templates within Productivity Fox.
I start inside the Productivity Fox interface. From the main Productivity Fox navigation, I go to Setup > Meeting Templates. (If you do not see this within your navigation, you may not have the correct permission sets to create meeting templates. Contact your Salesforce System Administrator if you need this access.)
Next, I click the plus icon next to the “My Templates” header in the left hand navigation menu. Select “New Template.”
After I click on “New Template,” I can create my new meeting template in the right hand side of the screen. I enter my meeting name, objective and attendees.
I can also add agenda items by clicking on “Agenda Items” in the right hand panel. The agenda items indicate what I want to discuss in the meeting. I also add notes within the minutes section for each agenda item to clarify what should be discussed. For example, when creating a meeting template for contract negotations within the sales process, I want to ensure we discuss the length of the contract and payment terms.
After I’ve set my meeting agenda, I click the “Save” icon to save the meeting template. Meeting templates are organized into folders.
To create a folder to save my template, I follow the same process to create a new template except I select New Folder.
I can now use these meeting templates to create new meetings as well as automatically generate new meetings throughout our business cycles using Salesforce Process Builder.
